Job title: Finance Manager
Location: Carers Trust Mid Yorkshire (CTMY) Office, Huddersfield?
Responsible to: Chief Executive Officer
Hours: 37 hours per week
Purpose?
-
To support the organisation’s CEO and Board of Trustees in ensuring the effective financial and administrative management of the organisation.

To contribute to the business growth of the organisation?
Management Responsibilities?
-
To be responsible for?the effective management of?financial and other?office systems within?CTMY?
-
To be responsible for?all aspects of profiling and operational analysis by recording, reporting, analysis, forecasting and planning
-
To support compliance with Data Protection within the organisation
-
To work with the CEO to plan for business improvements and contribute to general strategic and operational planning
-
To work with the?CEO and SLT and contribute to a comprehensive risk management plan for the organisation
-
Continual review of software systems used to improve financial efficiencies
Staffing
-
To supervise and appraise the staff directly reporting to the post holder, in line with the agreed standards
-
To participate in the recruitment and selection of appropriate posts within the organisation
-
To produce regular analysis reports for the CEO, SLT and the Board on sickness and absence and the cost implications of absences, Care Support Worker and Salaried staff costs
Quality
-
To ensure all quality & performance regulations are adhered to in respect of financial reporting for all internal and external policies?
FINANCIAL AND SCHEME MANAGEMENT?
-
To be responsible for the implementation and subsequent updating of all information and communication technology (ICT) within the organisation, supported by outsourced I.T./technical support
-
To be responsible for the operating manuals/ instructions for the ICT systems and ensure that all staff are fully conversant with the effective use of information technology?
-
To be responsible for?all aspects of the financial administration of the organisation, including:
-
monthly management accounts
-
P&L accounts per contract fund
-
budget preparation and forecasting
-
asset register
-
payroll, and hourly rate analysis
-
calculation of unit costs
-
invoices/payments
-
budgets/updates
-
financial reports
-
end of year accounts preparation and liaison with the auditor
-
cash ledger
-
credit control?
-
purchase ledger control and maintaining ?accounts with suppliers
-
donations
-
mileage
-
investment accounts
-
To produce a monthly Treasurer’s report with the organisation's Treasurer and Finance Committee for all board and finance meetings
-
To produce, on request, statistical information for monitoring and analysis
-
To maintain automated systems to ensure the effective retrieval of monitoring information?
Management of the business
-
To support the CEO in:
-
developing business relationships with all stakeholders
-
seeking and exploring business development opportunities which benefit carers and the organisation?
-
pursuing and negotiating new funding streams
-
preparing bids and funding applications (taking responsibility for all aspects of the costing of new services in preparation for tender)
-
developing a funding strategy for the organisation
Board of Trustees?
-
To keep trustees advised of any financial risk management issues which may affect the governance of the scheme and therefore the trustees’ responsibilities under Charity and Company Law
Other tasks

To follow the Carers Trust Mid Yorkshire Code of Conduct

To ensure that the organisation is compliant with health and safety legislation

To work within the philosophy and policies of the organisation

To undertake any other duties commensurate with the post holder’s grade, as requested by the CEO
Office Systems
-
Good computer literacy is essential, experience with computerised payroll and accounts is required – current systems are Iris for Payroll and Xero for Accounts. In addition, experience with Microsoft Word, Excel, Outlook is crucial

Maintaining recording systems in accordance with administrative procedures, utilising organisational software and databases as required
-
Comply with all office systems and procedures actively supporting the finance manager and CEO?
-
Working within the current GDPR and Data Protection regulations
Health and safety?
-
To implement, operate and maintain safe systems of work in accordance with Carers Trust Mid Yorkshire policies, procedures and guidance, training and associated risk assessments
-
To report to the CEO any situations or issues for concern relating to reasonably foreseeable risks, incidents (including near misses) and/or accidents which give cause for concern in relation to safe systems of work (affecting your own health and safety or that of others affected by your work activities)?
Policy, Legal Framework and Quality?

To abide by and to implement all codes, policies and procedures of the organisation to ensure that all aims and objectives are achieved and that all organisational and legal standards are met, including CQC and Ofsted standards; supporting the roll out of organisational policies

Report concerns/make appropriate notifications to Commissioners and Safeguarding Teams in liaison with the Locality Manager?

To comply with Health and Safety legislation, including risk assessments and to inform the Registered Manager of any Health and Safety requirements/issues arising

To ensure confidentiality is maintained at all times
-
To provide a quality service at all times and ensure commitment to quality by observing, understanding and implementing relevant aspects of the Carers Trust Quality processes, and any other quality method introduced by the Organisation

To participate in regular One to Ones, Appraisals and Team Meetings

To self-manage training compliance by completing online training and attending practical sessions to ensure that mandatory training is kept up to date at all times

To work as part of a team, supporting colleagues and providing a flexible service

To communicate effectively and work in partnership with all colleagues to ensure the efficient operation of the Scheme at all times

Skills / Qualifications:
- Experience of responsible financial management
- Profiling and operational analysis experience
- Qualified by experience and/ or qualified or part qualified in accounting (eg AAT
- CIMA
- ACA)
- Strong IT skills
- including Excel and finance systems.
- Well-organised
- with the ability to manage multiple tasks and deadlines effectively.
- Expert Xero user with experience of implementing new systems
- Demonstrable experience of preparing accounts to audit level
- preparing management accounts
- operating sales and purchase ledger
- and preparing VAT returns.
- Experience of charity and fund accounting principles.
- Experience of bank
- payroll and balance sheet reconciliations.
- Strong working knowledge of payroll processes
- including pensions
- PAYE
- NI and statutory compliance.
- Understanding of VAT in a mixed income environment.
